Theia Health is seeking an Executive Assistant to join their team. As an Executive Assistant, you will play a critical role in supporting the CEO, freeing up their time to focus on high-leverage tasks such as sales, fundraising, and product development. This is a dynamic and adaptive position that requires problem-solving skills and the ability to anticipate needs. From managing inboxes setting up partner accounts to providing customer support, you will be involved in a wide range of operational tasks. Additionally, you will be responsible for identifying opportunities for automation using AI tools, ensuring efficient workflows.

Responsibilities for this role include:

๐Ÿ“ž Answering customer support tickets and providing timely assistance (#1 most important activity - most of the time will be spent here)

๐Ÿ“ง Managing and organizing CEO and CTO inboxes.

๐Ÿค Assigning tasks and following up on important communications.

๐Ÿค– Identifying opportunities for automation and implementing AI tools.

๐Ÿ“š Creating FAQ articles and knowledge base resources.

๐Ÿ” Finding opportunities to automate and streamline workflows.

The onboarding process at Theia Health is designed to be adaptive and hands-on with lots of education and training in the beginning. You will have the opportunity to dive into the role, taking ownership of tasks and finding solutions independently after the CEO is confident in your understanding of the business, how to speak with customers and the whole Theia ecosystem. There is an emphasis on learning the job quickly and becoming familiar with the company's operations.

This is a full-time role where the working hours are always-on. To change the world it's necessary to work smart, hard, and for a long period of time, even after regular โ€œbusiness hoursโ€. The founders work every waking second of every day and expect everyone else to do the same - not because they are forced to but because they want to.

To excel in this role, you need:

  • 3+ years of proven experience in managing inboxes
  • 2+ years of strong calendar organization skills
  • 3+ years of experience in CRM management
  • 3+ years of experience in customer service
  • Extreme personal accountability.
  • Insane need to perform at an extremely high level
  • Proactivity & willingness to find ways to add value and buy time back for the team.
  • Self-confidence
  • You thrive working in a fast-paced and energetic work environment

Brownie points for:

  • Experience in ActiveCampaign
  • Familiarity with project management software, particularly ClickUp
  • Email management skills, preferably with experience using Superhuman (a huge bonus)
  • Communication software expertise, including knowledge of Loom (a huge bonus)
  • Previous experience with high-growth companies.
  • Familiarity with the dynamics of Silicon Valley VC-backed companies.
