Travel Coordinator [CLOSED]

Full Time 10.00 - 12.00 USD Type: Hourly

The company is affiliated with Brownell, based in Birmingham, AL, and has a network of 115 advisors with which the management communicates. The company has a fun and casual culture, all whilst engaging with the clients and suppliers in a very professional and detail-oriented way. The team is made of the people you would want to be friends with due to the respectful and dependable way in which they carry themselves.

Right now, Caity Connors Travel is looking for a Travel Coordinator to be Caity's right-hand person and act as a Chief-of-Staff. The focus of your role would be to assist Caity with running the business more efficiently and effectively, as well as ensuring that the operations run smoothly and providing a high-end service to the clients.

In this exciting and dynamic role, you would help create experiences and memories for people that last a lifetime, as well as get the chance to learn more about the industry and build a strong career!

More specifically, within this role, you will:

  • Build detailed itineraries in Axus
  • Enter and maintain client information in a CRM system
  • Manage workflow processes and task management system in TravelJoy
  • Execute concierge work i.e. restaurants, car transfers, tea times, spa appointments, etc.
  • Communicate with hotels and travel suppliers for VIP letters, confirmations, etc.
  • Communicate with clients once the trip is booked i.e. updates, final payments, insurance quotes, trip accessorising, etc.
  • Manage and organise information, e.g. destination information, restaurants, feedback from previous client trips, etc.
  • Interact with Caity, the clients, suppliers, and the Brownell Support Teams

Once you join the company, training videos and written materials will be provided for you to get you up to speed, and you will be expected to hit the ground running within three months of starting the role. You will also have an opportunity to learn more about the business, the kind of service it provides and the clients. Tasks will be assigned to you via weekly calls and emails before implementing a project management system via TravelJoy.

In order to excel in this role, you need to have:

  • A university degree
  • Microsoft Office Suite experience
  • High level of attention to detail
  • Experience in the travel industry, as an executive assistant, or in a project management-type role
  • Excellent critical thinking and problem-solving skills
  • A love of processes and organisation
  • Integrity and trustworthiness with a solid perspective on life and what is important
  • An interest in the travel industry
  • A solution-oriented mindset and excellent work ethic
  • Excellent communication skills and near-native English skills

What’s in it for you?

  • Hourly rate of $10 - $12*
  • Full-time and fully remote role
  • Flexible working hours, a 4-hour overlap with NYC time business hours 5 days per week is required
  • Working days are Monday to Friday, potentially with some work over the weekend for emergencies in case of trip issues
