TLC Creative Services, Inc. is a well-established graphic design studio with a 20-year track record working with corporate clients. Today, they focus on Powerpoint presentation design, supporting live corporate event presentations, and providing a client-branded portal to virtual meetings and live-stream sessions. TLC Creative Services is a small studio with a talented and ambitious team that love working with companies on creative projects.

Since 2020, TLC Creative Services has been operating mostly remotely, with local team members only at the office part-time. There is an ever-changing list of new projects. They have built a culture where they treat one another with respect and courtesy, but also have fun, chat, share jokes and feel comfortable sharing about life while working together.

The company is looking for a Project Coordinator to handle all project-related information, from setup and assigning project tasks, to managing deadlines and deliverables, all of which needs to be done throughout the project lifecycle.

In this role, you will:

  • Function as the central communication person on all projects
  • Manage incoming requests and outgoing proofs
  • Convert end-of-day reports from the design team to prioritized action lists for the next day
  • Do a daily review of each project for needed action items and confirm time entries have been added
  • Review client communications to assure all action requests are in the design team project notes
  • Communicate with clients when additional information is needed
  • Assist managers with speciality projects
  • Monitor project timelines and make recommendations if requests cannot be accomplished
  • Facilitate communication among internal team and clients so co-founders are no longer the bottleneck, freeing them up to grow the company

During the onboarding process, you will attend meetings where you’ll learn more about the company and each part of the workflow, logistics and processes. Then, you’ll shadow managers as they handle daily communication and operations. Through meetings with designers, you will get a “virtual tour" of some projects to better understand your role.

After the two-week onboarding, you will be able to contribute to the process significantly. You’ll be interacting with the design team on a daily basis and will be reporting to the two lead managers.

This role is perfect for someone looking for a long-term position, who would love to work with a fun and motivated team. This role is an integral part to operations, so it’s important that you’re committed to a long-term job and a team player who can hold yourself and others accountable. You’ll be working in many different fields (entertainment, consumer products, medical, pharmaceutical, automotive, etc.) and with clients from small businesses to very large corporations, and with a dedicated team of employees.

To be a successful candidate, you need:

  • University degree
  • A minimum of 3-4 years of relevant work experience
  • Operations & project management experience, with the ability to manage many projects at the same time
  • Knowledge of project management tools (e.g. Monday.com, Asana)
  • Experience managing a team and managing projects
  • Excellent organizational skills and the ability to keep track of details
  • Excellence at reviewing input and identifying actionable tasks that need to be accomplished
  • Impeccable communication, written and spoken English
  • An obsession with getting the details right, you don’t miss a task and can make sure that everything gets done across multiple concurrent projects
  • High level of computer skills, ability to quickly learn new software
  • Dedicated work area
  • Reliable internet (20/20 Mbps minimum)

Brownie points for:

  • Experience in the design industry or other creative fields
  • Familiarity with Adobe Creative Suite
  • Experience with live events (corporate meetings, award shows)

Our ideal candidate is a reliable person who loves reviewing details and finding missing information - basically, someone who enjoys solving puzzles! As this role entails team management, you also need to be comfortable reaching out to team members, holding them accountable for tasks and reminding them to respond to or follow up with a client.

This is a full-time position, and you need to have at least three hours of overlap with the (UTC -7) California-based working hours of 8 AM - 5 PM PT.
