About the role

Finance Controller and Administrator! This is a remote (work from home) position.

The goal of this position is to take over the Finance department tasks to allow the CEO and COO of the company to focus on the overall Financial strategies rather than day-to-day tasks. This is a multi-faceted position that requires someone who can precisely follow the procedures while at the same time applying critical thinking when dealing with unique issues. This person will be at the forefront of both collecting and issuing payments to employees, contractors, and clients and absolute attention to detail is of utmost importance. This will include phone calls and problem-solving. You will also have a responsibility to work on financial forecasting, cost analysis, and a wide variety of financial reporting. Finally, you will be there to hold everybody in the company financially responsible.

  • This role starts at $11.25 per hour, with a guaranteed minimum of 80 hours a month. However, we have a lot of potential in further developing this role and turning it into a full 160 hours a month position over the next months.

How to apply?

The ideal candidate:

Detail Oriented: In your position you will be handling a large number of Invoices and will be in charge of keeping clear and accurate records of them. On top of this you will be compiling and creating weekly and monthly financial reports that the CEO and COO will be counting on to make decisions so making sure every detail is perfect is very important for this role.

Holistic: You will have access to a large amount of historical financial and client data, and you will be expected to create meaningful, impactful reports and analyses to help drive the business forward by enabling the CEO and COO to critically think about the company's past financial decisions, and plan future successes.

Teachable: We have a large number of procedures in place for the Finance department that have been created based on practical experience and best practices we discovered over the years. You will be expected to learn these procedures and follow them in order to be successful in this role. 

Organizational: You will need to have the ability and desire to be organized; not just for yourself but for the company as you will have full access to company finances and records, and will be expected to maintain those records. People will come to you with a variety of requests and it will be up to you to organize them in Financially sound actions and tasks. 

Accountable: You will work independently with minimum supervision from others while being expected to handle all the tasks at the highest level. Workload significantly increases at the start of the month and you will be expected to deliver all the reports in a timely manner with a high level of accuracy, despite the other tasks that are coming in on a daily basis. 

Areas of Responsibilities (not a full list):

Payroll

  • Manage Payroll payouts to Employees and Internal contractor
  • Track, review, and action bonuses and reimbursements
  • Keep precise and clear Payroll records
  • Make updates to Employee and Internal Contractor Payroll accounts as required


Controller side

  • Create a monthly & yearly Forecast for Rotate Digital based on historical data
  • Analise Variable and Fixed Overhead to optimize the company's monthly expense
  • Create product price analysis to optimize our products
  • Create meaningful Hubspot reports to help the Head of Account Management track the financial performance of his team
  • Complete Return on Investment(ROI) analysis of all conventions and events we are attending
  • Create financial models for growth and provide insight to the CEO on ways to improve and become more efficient.

Admin Side:

[Daily]

  • Check email account
    • Action Invoices requesting payouts
    • Action Churn emails
    • Action any non-standard email requests
  • Check Outstanding payments
    • Review Stripe for Outstanding Payments
    • Action Oustanding payment as per our SOP
    • Follow up on any open Ticket for Outstanding payment, with potential phone calls
  • Check Asana for any Ongoing tasks or Tickets that need to be actioned
  • Troubleshoot any issue that the Team may be experiencing related to the Financial department
     

[Weekly]

  • Create weekly Finance KPI reports and coordinate Executive Assistant to update the CEO and COO
  • Review Quickbooks transactions to correctly Categorize transactions and issue any Invoices for CEO flights
  • Coordinate with the Accountant and provide them with updates on Uncategorized transactions
  • Meet with the Accountant to troubleshoot possible issues.

[Monthly]

  • Create monthly Finance KPI reports and coordinate Executive Assistant to update the CEO and COO
  • Complete the Monthly audit of all Quickbook transactions to make sure everything is categorized correctly.
  • Coordinate with the Accountant to ensure everything is tracked and recorded correctly
  • Update the Finance Forecast sheet for the CEO and COO with Forecasts and Actuals for each month

 

Important skills and experience:

  • Detail oriented is a must
  • Ability to see a holistic image of historical financial data
  • Experience in creating weekly, monthly, and quarterly financial reports
  • Experience in investigating Financial discrepancies in reports
  • Experience in creating Financial Forecasts
  • Experience with QuickBooks or similar accounting software
  • Experience with Hubspot
  • Knowledge of Stripe or similar payment processing software
  • Experience with Payroll processes
  • Experience working with a variety of payment platforms like Wise, Payoneer, and Paypal
  • Excellent knowledge of Google Suite
  • Bonus points if you can create SQL queries to investigate financial records

  • Remote working. This is a remote (work from home) position

  • We are a startup, so building, growing, documenting, and improving is the core of everything you will be doing.
  • Arizona Time Zone: Working time is flexible, but you will need to be available for most parts of 7am-4pm Arizona Time (Monday to Friday, occasional weekend work)
  • Flexible work hours during the week based on volumes. The amount of work varies and there is usually more volume at the start and the end of the week. The first week of each month is usually busier than normal weeks. You need to be ready to work full 8-hour days on some days and shorter days on other days based on workload.
