Executive Assistant

The Executive Assistant we’re looking to add to the team would have three main outcomes:
- Clear the team and founders to focus on our customers by managing internal activities and reducing distractions to their headspace.
- Collaborate with the founders to explore new ideas and experiments of things we could be doing.
- Enrich and uplift everyone’s lives through identifying and setting up events, get togethers, and activities.
You’ll know you’re the right person for this role if you have:
- 2-4+ years of experience as an operations, administrative or executive assistant
- Experience managing email, travel, events and activities
- An obsession with getting the details right and keeping things moving
- An ability to operate independently and reliably accomplish tasks
- Reliable Internet, Reliable PC, Noise Cancelling Headset
- Experience with word-processing software and spreadsheets (e.g. Google Drive)
- Knowledge of online calendars and scheduling (e.g. Google Calendar)
- Bonus: Experience with Click Up, Zapier, Salesforce
You’ll be doing:
- Accountable for ensuring that the team is completing internal tasks on time
- Responsible for managing email, linkedin, and entrepreneurship communities for the founders
- Accountable for completion of scorecards for various meetings and activities
- Responsible for ensuring compliance with salesforce programs
- Responsible for sourcing assistance (posting jobs, talent filtering, scheduling)
- Responsible for onboarding and offboarding activities related to hiring
- Responsible for ensuring access management is done (hardware, software, and office)
- Responsible for taxes, expenses, bank accounts, accounts payable, credit cards, invoicing, insurance, and the tools relating to them
- Responsible for doing client research for new sales calls
- Responsible for preparing client updates (hours, bills, etc.) and sending to the DM pre-call
- Responsible for surveying the team about events (lunch & learns, monthly) and setting up events
- Responsible for being a culture champion in slack (polls, events, gifs, celebrations)

- Part-Time: 4 Hours within ~5-12 PM CET based on availability
- Full Time: 4 Hours within ~4-12 PM CET + 4 Flexible Hours CET
