Right now, we’re looking for a proactive, all-around Administrative Assistant to join our team on a part-time basis.

About the role

You will have a clear step-by-step process for all of these responsibilities.

In this role as an Administrative Assistant, you will be tasked with the following responsibilities:

  • Withdraw pending connection requests on LinkedIn
  • Invoicing and W9 generation for clients
  • Posting to social channels daily, using our social media management tool
  • Sending quotes to leads post-sales call
  • Onboarding new 1:1 clients - adding them to Kartra with the tag "freedom academy"
  • Sending reminders to upcoming sales calls, with link to our CEO’s story
  • Send login credentials from our app to some of our clients (most of them receive it automatically)
  • Help update client contracts, especially with annual dates when our CEO is unavailable
  • Help with emails while our CEO is traveling
  • Help with doing research for, and planning events (venues, flights, accommodation, etc.)
  • Finding alternative times for sessions/meetings with clients and prospects.
  • Managing communication with clients regarding administrative tasks.
  • Guarding our CEO’s vacation times ahead of time.
  • Stocking books, mugs, hats, etc.

This is not a definitive list of your responsibilities, as new ones may appear in the future.

During the first few weeks in the role, you will learn more about the company and work directly with the CEO and the Business Manager.

About you

You are someone who has energy, focus, and initiative. The goal of this position is to take on responsibilities that are simple, repetitive, but time-consuming, in order to free up some time for other team members (mostly the CEO), so they can spend more time on their most important projects and tasks that will drive the company further. Ideally, you’re a jack-of-all-trades who can take on different types of tasks.

We want someone who is available for 20 hours per week, Monday to Friday with flexible working hours between 8 AM - 7 PM GMT.

Being a remote company we don’t have an office but there are still lots of things for you to be looking after, helping things run smoothly.

The perfect candidate will:

  • Be detail-oriented, and able to follow systems and processes to the dot.
  • Be very organized, and won’t have issues completing repetitive tasks on a daily basis.
  • Be very proactive in their communication - it’s better to over-communicate than assume your team members are aware of things.
  • Be comfortable in a fast-growing environment where things are rapidly changing.
  • Ensure that everyone on the team is in the know.

To excel in this role, you need to have:

  • A minimum of one year of experience as an Administrative/Executive Assistant in a fully remote environment
  • Excellent English communication skills, both spoken and written.
  • Experience with project management tools, ideally Asana.
  • Experience working with G Suite. (Docs, Sheets, Slides, etc)
  • Experience with organic social media management tools (Loomly, Hootsuite, etc.)
  • Experience with CRM tools (Pipedrive, Zoho, etc.)
  • Ability to learn new software tools, systems, workflows, and processes quickly.
  • Proactive approach - don’t wait for someone to give you a task, but ask ‘What can I take off your plate?’
  • Superhuman organization skills, attention to detail & problem-solving skills
  • A stable and reliable internet connection.

Bonus points for:

  • Experience working as an Administrative/Executive Assistant in the coaching industry.

You MUST have experience in a similar role and really WANT to do this for the long term because we want someone who wants to grow with our company!

What's in it for you?

  • $400 - $600 per month
  • Fully remote and part-time position ~ 20 hours per week, Monday through Friday.
  • Flexible working schedule; EvolveMen usually operates between 8 AM - 7 PM GMT. You have the flexibility to structure your day within those hours, as long as there is overlap for internal meetings with team members as needed. Special events can be organized at different times, outside the normal scope of business hours.
