The company operates with a fully remote team consisting of five full-time employees and approximately nine contractors. Their team members are located in Miami, North Dakota, Virginia, Orlando, Mexico, El Salvador, and various other countries. The Inbound Marketing Coordinator (IMC) plays a crucial role in supporting our Inbound Marketing Managers with project management, HubSpot reporting, and implementation. By taking on these responsibilities, the IMC allows the Inbound Marketing Managers (IMM) to focus on strategic solutions, strengthening client relationships, and driving agency referrals, brand trust, and overall team growth.

Responsibilities include:

  • Co-lead Client Onboarding and assisting the account team with Client management and retention
  • Assist IMM with gathering metrics/research needed for creating Client SMART goals
  • Create and send monthly reports for deliverables, metrics, goals, and marketing spending for assigned account
  • Assist IMM on day-to-day project activities to ensure timely and quality delivery.
  • Assist IMM with task follow-ups and status reports; Keep IMM updated on the status of projects
  • Assist with project plans, Gantt charts, and hour allocations for projects.
  • Ensure creative/development teams have appropriate assets to successfully execute the marketing plan
  • Conduct internal status meetings with the team and follow up on deadlines.
  • Prepare thorough, clear, accurate work for Clients, reflective of the Agency’s quality standards.
  • Organize Client’s files, creative assets, and deliverables on Team Drive. Verify files are properly named and archived. Securely provide needed access to the team and resources
  • Attend and participate in Client Kickoff meetings to understand goals and expectations.
  • Participate in internal kickoffs to help communicate scope, deadlines, and prepare the team for success
  • Conduct research and assist in creating case studies for Client campaigns
  • Assist the IMM with writing campaign briefs and tasking out deliverables to achieve desired Client results
  • Prepare and publish content (emails, blogs, social posts, opt-in forms) via HubSpot and other marketing tools
  • Write/edit social posts, emails, calls to action, and other content as needed
  • Create monthly project completion reports (to IMM) and hours recaps (to Leadership.)
  • Supervise and review the quality and technical accuracy of each project. Help with QA.
  • Manage tasks for assigned accounts. Ensure scope requirements are being followed, budget and timeline are within scope and client expectations
  • Assign tasks and ensure all resources understand requirements (i.e. functionality, scope, specs) and have all needed technical assets, briefs, and access for successful completion.
  • Help IMM review and proofread deliverables for grammar, spelling, tone, and brand standards. Conduct Quality Assurance that instructions/scope were followed and report any discrepancies.

Upon joining the team, the Inbound Marketing Coordinator will undergo comprehensive training and support. This includes becoming familiar with the company and delivery processes, as well as receiving training on ClickUp, their project management tool. Additionally, an overview of their clients and their HubSpot portals will be provided. The onboarding process is estimated to take approximately 4-6 weeks.

This is a full-time position, and the working hours are Monday to Friday. While the hours are semi-flexible, availability for internal and client calls is required. It is essential to have a minimum overlap of 4 hours with US Eastern Standard Time (EST), between 9 am and 5 pm.

The Inbound Marketing Coordinator will work closely with each Marketing Manager, Subject Matter Experts (SMEs), and the ClickUp Champion on a daily basis. Also, the IMC will report directly to the VP of Delivery and also provide regular updates to each Marketing Manager.

  • Minimum of 2 years of agency experience in digital marketing and/or website development.
  • Proficiency in inbound and digital marketing strategies.
  • At least 1 year of project management experience.
  • Excellent verbal and written communication skills in English.
  • 2 years of experience working in a remote environment, with a strong understanding of the importance of responsiveness in remote work settings.
  • 2 years of experience implementing HubSpot, with HubSpot Inbound certification preferred.
  • Minimum of 2 years of experience managing projects in an agency environment, with at least 1 year of client-facing experience.
  • HubSpot Marketing Hub and HubSpot Reporting.
  • Knowledge of Gmail, Google Apps, Google Drive, and Google Docs.
  • Proficiency in Google Analytics (GA4).
  • Exceptional organizational skills and capable of independently finding solutions to challenges.
  • Motivation to understand the importance of proactive and responsive communication in a remote working environment.
