The Sales Coordinator will improve the overall client experience by facilitating a consistent baseline of service to our clients. This role serves as primary support staff to the Founder and travel design team and is laser-focused on meeting the needs of our clients and delivering a highly personalized travel experience. This position’s main priorities are quality control, elevating the client experience by ensuring expediency in communication with both clients and suppliers, facilitating a smooth and consistent sales process, and fostering ongoing client relationships.
About the job:
- Overseeing the pacing of our inquiry and design process in our project management database
- Prioritizing and qualifying new client leads, moving them efficiently through our sales process, and following up with potential leads diligently to close new projects
- Keeping track of inbound leads and following up consistently
- Scheduling of sales calls (known as Discover Calls) for qualified leads and following up with prospective clients who don’t schedule
- Assisting travel design team with needs pre- or post-Discover Call (pre-call research, collecting prospect surveys, etc.)
- Following up with qualified prospects post-Discover Call
- Maintaining regular communication with clients during design process as directed by design team
- Sending post-travel surveys and collecting client feedback and testimonials
- Maintaining ongoing communication with established clients to encourage engagement and foster long-term relationships
- Ensuring client records are up to date, including maintaining database with client preference information, travel wish lists, marketing permissions, and internal notes for team and suppliers
- Processing all new sales in the company’s invoicing system and assisting with commission tracking
- Working collaboratively to build out internal Knowledge Database, our robust collection of supplier, destination, and experience information
- Oversee client itinerary management system, including building out each trip and maintaining final documentation for each

Working Style:
- This is a remote position, paid on an hourly basis as an independent contractor
- This role will begin as part-time – approximately 20 hours per week – with the ability to grow as our business grows.
- Most work will be assigned digitally but you should be available for calls as needed and for a weekly team meeting conducted via Zoom.
- Flexible schedule – our team is based in the US Central Time Zone (GMT -5) and Central European Time (GMT +2). You have the freedom to schedule your working hours as you see fit, as long as you produce high-quality work on a timely basis
