Sharp Pen Media is seeking a highly skilled and experienced project manager to join our team on a full-time basis. The successful candidate will be responsible for ensuring that all client projects are delivered to an exceptional standard, while also streamlining internal communication and workflows to improve overall efficiency.

Sharp Pen Media is an ambitious and fast-growing agency with a growing roster of clients and new projects coming aboard each month. As a project manager, you will be an essential part of the team, playing a crucial role in helping them to continue their expansion and maintain the high standards of quality that clients have come to expect. The primary responsibilities in this role will be to:

1️⃣Develop and manage a project system that produces happy clients and minimises churn.

2️⃣Accelerate fulfilment by proactively identifying and resolving roadblocks.

3️⃣Ensure all projects are completed on time and that communication with clients is excellent.

More specifically, within this role, you will:

  • Take ownership of project deliverables to ensure all projects are completed to a high standard and delivered to clients on time.
  • Standardise and streamline project management using Asana, including developing and implementing workflows and processes to improve efficiency and collaboration.
  • Serve as the main point of contact for clients, managing relationships and responding to project requests and inquiries in a timely and professional manner.
  • Assign projects to the appropriate writers and editors, ensuring that each project is allocated to the most suitable team member.
  • Handle invoicing, including ensuring that all invoices are generated accurately and in a timely manner, and that all payments are collected in full and on time.

As a project manager at Sharp Pen Media, you will report directly to the founder and CEO, Joe Zappa. You will work closely with a team of approximately ten writers and interact regularly with the clients.

The company will provide comprehensive onboarding materials to teach you about each client, how to manage deliverables, and other key aspects of the job. Training will be a combination of conversations with the team and standard operating procedure (SOP) documents concentrated in the first month or two of your employment.

You will start by taking over deliverable management for a few accounts, and gradually take on more responsibility until you are managing all clients' projects. You will also take on more responsibility for managing client relationships. The team will ensure a smooth transition into your role and provide you with the support and training needed to succeed.

To excel in this role, you need to have:

  • 1+ years of experience organising a team
  • Familiarity with project management tools (ideally Asana)
  • Excellent organisational skills and the ability to build high-functioning systems
  • Ability to coordinate between team members and clients
  • Ability to work asynchronously while still communicating effectively with the team and ensuring timely delivery of tasks
  • Ability to give and receive direct feedback
  • Accountability: Ownership of tasks with diminishing oversight, accompanied by a willingness to ask specific questions until the task can be owned without supervision

Brownie points if you have:

  • Experience with content marketing or PR
  • Experience with ad tech, e-commerce tech, or law firms

  • Full-time and fully remote role, allowing for greater flexibility and work-life balance.
  • Semi-flexible working hours that require some overlap with US East Coast time zones for attending meetings and collaborating with the team. Specific hours are negotiable, but generally, meetings will be scheduled between 9 am and 2 pm ET to accommodate the team's schedules.
