Project Coordinator [CLOSED]

Right now, Fiorilli Construction is looking for a Project Coordinator. In this role, you would contribute to continuous growth for the greater good, whilst working with an amazing company and professional and fun team.

This is a dynamic and exciting role with three key areas of focus:

  1. You will coordinate the owner - subcontractors change management
  2. You will be in charge of processing RFIs and Submittals on time
  3. You will provide the weekly reports of the project forecasts and results, as well as collaborate with the Project Manager on delivering high-quality results
  • Project Management; you will:
    • Assist the project team by managing project relationships, profitability, and cost controls for assigned projects. This can include Production, Scheduling, Procurement, Monitoring, & Enhancement for construction projects assigned to you
    • Bring projects in on time and budget, as well as enhance relationships
    • Assist in the tombstoning of a project to ensure all PCCOs and SCCOs are issued and billed, subcontractors and vendors are paid in full, & closeout package is complete.
    • Uphold the core focus of Fio-Construction: Delivering Construction Excellence via Building Synergistic Authentic Relationships
  • Project Management Liaisons; you will:
    • Vet new corporate vendors
    • Liaise with the owners, field, subcontractors, and architects/engineers.
    • Communicate status and outcome of your tasks with the Project Manager and other project team members
    • Manage monthly billing and invoices for approved vendors
    • Assist the Project Manager with creating and managing subcontracts in Procore
    • Find areas of improvement and solve problems in a practical and professional manner
  • Project Controls Support; you will:
    • Assist with construction schedule preparation, budget, procurement, submittals, RFIs, material tracking, etc.
    • Oversee all GP and Schedule 5 x 5 reporting and LMA data integrity
    • Manage Subcontractor and FCI project activities as assigned by PM
    • Prepare weekly client reporting as assigned by PM
    • Keep current and accurate reporting on Project Specific Traction Tools for Issues & To Dos, proposing solutions
    • Send weekly LMA Procore videos to owners
  • Project Closeout; you will:
    • Generate the closeout status report and tombstoning and distribute weekly
    • LMA - Procure , manage filing and tracking of all project closeouts documents
    • LMA - Project Closeout list as a liaison from EM to OPS to close out the job
    • Ensure EM has a cash flow schedule that matches the closeout time frame
    • LMA - Manage and IDS any remaining items through billing retainage and project closeout
  • Client/Sub Relationship Responsibilities; you will:
    • Build Synergistic Authentic Relationships with Clients and Subcontractors
    • Effectively collaborate with team members
    • Uphold the core values of the company
    • Assist with job-related information integration between Procore and Foundation as needed
    • Act as liaison for all open EM billing or payment questions with OPS

Although the company counts on your experience and expertise, you will have two weeks of orientation and initial training which will entail reviewing all company systems and roles so that you familiarise yourself with the company.

In order to excel in this role, you need to have:

  • 1-2 years of experience in supporting Project Management teams, ideally in a commercial construction firm or a related firm, e.g. architectural or project-based firm
  • Strong accountability, problem-solving for the greater good, the ability to maintain solid relationships
  • Attention to detail in conjunction with excellent communication skills
  • Ability to learn new software quickly; you are tech-savvy

Brownie points for:

  • Experience in EOS Worldwide
  • Experience in Jonas Premier cloud-based software for project management and estimating
