Winning Ivy Prep’s mission: help high school students get accepted into top US universities with a less than 10% acceptance rate while helping them to grow as people and empower them with long-lasting life skills.

One woman’s passion of mentoring high achieving youth has quickly grown to serving 250+ clients to date. We’ve grown largely through word of mouth simply because families love how we coach. We have a wealth of knowledge about the admissions process, and we have a track record of getting students into their top tier universities.

But what truly makes us different is this: We are mentors. We genuinely care. We over-deliver. We strive to do everything we can to help students realize their college dreams. When students get into their schools, we feel that joy alongside them because we are connected and care so much about their success.

Our team consists of 3 team-members, and we’re growing fast.

What does an Operations Manager do?

The Operations Manager will work directly with the CEO to be her “right hand” person that will get the job done. This means that you are able to quickly identify (i) the problem or inefficiency (ii) understand the desired end result and (iii) push us to the end result!

As the Operations Manager, you will be a KEY MEMBER in contributing to the continual growth of the business on all things operational to help our clients gain success.

The role will likely evolve over time, so the tasks outlined below are simply to give you an idea of how your day-to-day may look.

SOP and Process building/streamlining

Description: we have processes in place for client onboarding and client management, but it’s not efficient. One task would be to create a process and identify tech solutions to keep track of our students, their progress, and their homework submissions on a weekly basis.

Responding, setting up, and managing customer support channel

Description: We have a customer support email channel, but don’t have an established “second brain” of FAQs. Another task would be to help manage the CEO’s inbox and build out this “second brain” of FAQs.

Identify and Post on job boards to recruit coaching talent

Description: We’re hiring more coaches. Help us identify job boards and places to recruit talent based on parameters we are looking for.

Other day to day tasks will be:

  • Identify opportunities to automate more, and set up Zapiers to make repetitive tasks more automated
  • Managing CEO’s emails
  • Bookkeeping/managing receipts
  • Update website whenever needed
  • Any other tasks that we send your way…

What does it take to be a successful Operations Manager?

Candidates who are successful in this role have all of the following -

  • Has proven Operations Management experience with demonstrated success in at least one area of operational business growth, customer success and/or implementation of business processes and systems.
  • Extremely strong English writing, speaking, and reading skills
  • “Best in the World” attention to detail. Absolutely important.
  • You want to constantly go above and beyond. There is no “good enough” for you. Honestly, you’re a bit of a perfectionist and you always aim for excellence.
  • Tech-savvy. You are comfortable learning new tech.
  • You can figure anything out. You’re quick and proactive in solving problems
  • Navigate ambiguity. If we ask you to spearhead a project that we’ve never done before, we don’t know what we don’t know. So, you should be able to navigate that ambiguity comfortably and efficiently.
  • Love building systems, doing operations, and being in a customer service/success role
  • Willing to get their hands dirty (okay doing admin work) like everyone does on the team
  • Confident drafting and responding to emails to high net worth clients that have a high bar for excellence
  • Wants to work for a small company and have a lot of responsibilities and growth

Brownie points for experience with any or all of the following:

  • Budget and financial management
  • Implementation of KPIs and Reporting / data visualization tools
  • Experience with automation tools i.e. Zapier
  • Management of costs and profitability experience
  • Understanding and experience of Objective setting especially OKR’s

In summary you will enable Nae the CEO to step back from the operations side of the business to focus on growing the business, safe in the knowledge that you and the team have the operations and customer engagement side of things firmly in hand.

Where is the office?

You can be and work from anywhere you want in the world! We’re a fully remote company.

Currently, our team members live in San Francisco, Boston, and Michigan.

1 - Click Apply and complete the application form - you’ll also be requested to send us a link to a video of up to 5 minutes (not longer) of you introducing yourself and tell us a little about you. This video is not required, but we ask for this because we work with teenagers and their families, and even though you won’t be directly interacting w/ them on the Zoom, we find that video introductions are fantastic and effective!

2 - There’ll be a second stage, likely an initial interview but possibly something different based on some processes we’re testing right now

3 - In depth interview - Chance for us to talk in more detail together about your future working with us.

4 - Test project - a chance to see how well we work together.

5 - Referencing - we’ll want to speak to at least one of your current or previous employers to hear the great things they’ll say about you
