The Vinci team is looking for their next essential team member - an Operations Manager who will work closely with the CEO to help streamline the processes, coordinate procedures and overall help scale the business by identifying areas of improvement.
You will play an integral role in the team.s the right hand to the CEO, you would work with the entire team and team managers, ensuring that all the processes are optimised and the routines established.
Your role is will focus on these areas:
#1 Helping develop repeatable systems and processes that truly benefit the team as well as the clients
#2 Managing as much day-to-day communication between Vinci and clients as well as internal team communications
#3 Improving quality and efficiency of the team and their output without negatively impacting the customer experience and helping increase profitability
More specifically, within this role you will:
✅Develop systems and processes for each of their service offerings, client relationships and management, as well as for the internal team to improve workflow and communication.
✅Solve problems and delegate to the team, executing plans in real-time and ensuring milestones are met
✅Improve the experience for the clients throughout all stages of the customer journey
✅Improve the quality of deliverables for clients by implementing & updating internal processes
✅Proactively look for ways to increase profits and growth, and closely work with the CEO to develop growth strategies that align with the company’s vision, core values, and culture
✅Manage the internal team as the right hand to the CEO
✅Coordinate departments and manage within-company communications which will support the achievement of company goals and enhance the ethos/culture
✅Conduct ongoing assessments and improvements on processes to ensure consistency and reduce variabilities & soft-spots
✅Research various (marketing) services and strategies to ensure systems are up to date
✅Manage business development tasks and client outreach
✅Manage any issues that come up with the clients or team members
✅Report directly to the CEO
Although Vinci counts on your experience and expertise to do your job effectively, an onboarding programme will be organised for you so you can learn more about the agency, what they do, who their clients are, and what are the top action items to address. Your first weeks will be full of learning, discussions, research, and collaborative effort with the CEO. You will also have access to the systems and processes that are already in place at the company.
