About the role
The goal of this position is to take over the Finance department tasks to allow the CEO and President of the company to focus on the overall Financial strategies rather than day-to-day tasks. This is a multi-faceted position that requires someone who can precisely follow the procedures while at the same time applying critical thinking when dealing with unique issues. This person will be at the forefront of both collecting and issuing payments to employees, contractors, and clients and absolute attention to detail is of utmost importance. This will include phone calls and problem-solving. You will also have a responsibility to work on financial forecasting, cost analysis, and a wide variety of financial reporting. Finally, you will be there to hold everybody in the company financially responsible.
This is a remote role with flexible working hours. You are free to work when you choose but we ask all employees outside of the USA to be available for communication and ready for last-minute urgent requests/ meetings when necessary at any time between 9 am - 3 pm US Eastern time.

- Process all invoices in a timely and accurate manner, as per our procedures: Processing all incoming Invoices within 24 hours of receiving them is essential in order to maintain good relationships with our vendors. And following the procedures fully is of great importance in keeping our Payment accounts in good standing and active.
- Action all the requests from the CSM team as per procedures: All requests from the Client Success team need to be actioned in a timely and price manner in order to maintain good Client relationships and avoid any potential loss of revenue.
- Action the Outstanding payments according to SOP: Staying on top of the Outstanding payments is crucial to maintaining a constant flow of revenue and ensuring that no loss of revenue occurs due to work being done that we are not paid for. At the same time dealing with the Outstanding payment in an appropriate manner will ensure that we serve of Clients well and will prevent the potential loss of Clients.
- Deliver precise, accurate, and meaningful reports to management: Having clear and accurate Financial records is essential for running a profitable business. Making sure that all bookkeeping is completed in time for the end-of-the-month report and that all the transactions are categorized correctly ensures that we have a complete picture of the Financial side of our company. All reporting can have automation but should be cross-referenced and double-checked for accuracy before presenting to management ****
Capabilities

- Ability to review the incoming Invoices in detail to ensure that our SOPs are met while still applying critical thinking to see if any improvements in our payout process are possible.
- Ability to holistically review all the requests from the Client Success team in order to prevent any potential loss of revenue while actioning their request to ensure that Clients' needs are met.
- Stay on top of the outstanding invoices on a daily basis to make sure that no loss of revenue occurs. At the same time, you need to be aware of why the issue happened and if there is an opportunity to collect the payment while still maintaining a great relationship with the client.
- Keep the financial records clear and precise to ensure that all reports created have the most up-to-date and accurate information.
- Critically think about what type of Financial reports you can create for the management team to help drive the business forward.
- Assist the leadership team with financial forecasting by creating expense projections for labor, COGS, bonuses, commissions, etc, and combining that with sales and churn projections to solidify the rolling 12-month forecast.
- Confidently communicate over email and phone calls during hard conversations, with angry clients, in difficult situations, and provide solutions that benefit both Rotate Digital and the client.
- Put your stamp of approval on all work and reports in the financial department. This is your reputation on the line, so all actioned work including recovering revenue, and updating client subscriptions and reports (daily, weekly, monthly, and quarterly) should reflect that. Double-checking work is commonplace.
- Great time management to adapt to different types of workloads, adjust to unexpected changes and manage multiple tasks or projects simultaneously. You should be able to handle multiple responsibilities, including communicating with clients who have outstanding payments due, creating a report for the President, preparing for the EOM report, and coordinating internally about client subscription changes.
Duties & Responsibilities
These are some of the core activities/tasks to be performed daily, weekly, monthly, and/or quarterly that you will have on your plate. This is not an exhaustive list.
Payroll
- Manage Payroll payouts to Employees and Internal contractors and investigate any issues
- Track, review, and action bonuses, commissions, and reimbursements
- Keep precise and clear Payroll records
- Make updates to Employee and Internal Contractor Payroll accounts as required
Controller side
- Create a monthly & yearly Forecast for Rotate Digital based on historical data
- Analyze Variable and Fixed Overhead to optimize the company's monthly expense
- Create product price analysis to optimize our products
- Create meaningful Hubspot reports to help the Head of CSM team track the financial performance of his team
- Complete Return on Investment(ROI) analysis of all conventions and events we are attending
- Create financial models for growth and provide insight to the CEO on ways to improve and become more efficient.
Admin Side:
[Daily]
- Check email account
- Action Invoices requesting payouts
- Action Churn emails
- Action any non-standard email requests
- Check Outstanding payments
- Review Stripe for Outstanding Payments
- Action Outstanding payment as per our SOP
- Follow up on any open Ticket for Outstanding payment, with potential phone calls
- Check Asana for any Ongoing tasks or Tickets that need to be actioned
- Troubleshoot any issue that the Team may be experiencing related to the Financial department
[Weekly]
- Create weekly Finance KPI reports and coordinate with Finance & HR Specialist to update the CEO and President
- Review Quickbooks transactions to correctly Categorize transactions and issue any Invoices for CEO flights
- Coordinate with the Accountant and provide them with updates on Uncategorized transactions
- Meet with the Accountant to troubleshoot possible issues.
[Monthly]
- Create monthly Finance KPI reports and coordinate with Finance & HR Specialist to update the CEO and President
- Complete the Monthly audit of all Quickbook transactions to make sure everything is categorized correctly.
- Coordinate with the Accountant to ensure everything is tracked and recorded correctly
- Update the Finance Forecast sheet for the CEO and President with Forecasts and Actuals for each month

Pay range is dependent on experience.
Base: $1500 -$1700 per month (in USD) depending on experience
*You can expect the first salary increase after completing the initial 3-month trial period
