Executive Assistant/Virtual Office Manager - JobRack CEO [CLOSED]

I am the owner and CEO of JobRack and I am looking for an Executive Assistant / Virtual Office Manager to help run both business and personal aspects of life.

I am looking for someone who is available for 6- 8 hours per day five days per week and is happy to help me with everything from event organisation, email and calendar management, book-keeping, travel research / bookings, through to research and a whole lot more too!

I would prefer full-time however if you have great experience and are an experienced EA / Office Manager then a few fewer hours each day could work.

You MUST have experience in a similar role and really WANT to do this for the long term.

A combined ‘Executive Assistant / Office manager’ is probably the closest term to what I’m looking for. Being a remote company we don’t have an office but there are still lots of things for you to be looking after, helping things run smoothly as well as being hands-on doing tasks too.

I have a busy and often complicated life!

I run a rapidly growing business, I travel a lot, I organise conferences, dinners and events regularly, I'm very active and I like to have fun.

I’m looking for someone with extensive experience in all these things and more to help me with the day to day running of the team here at JobRack as well as other aspects of my life.

The Executive Assistant/Virtual Office Manager I’m looking to add to the team would have three main outcomes:

  1. Help the CEO (and sometimes the team) focus on key business and personal priorities by managing activities and reducing distractions to their headspace.
  2. Collaborate with the CEO to explore new ideas and experiments of things we could be doing.
  3. Enrich and uplift everyone’s lives through identifying and setting up events, get-togethers, activities and other ways of helping us to continue to be an awesome team.
  • Responsible for managing email, LinkedIn, and entrepreneurship communities for the CEO
  • Responsible for ensuring a clear and concise daily agenda is in place with key information processed before and after CEO calls.
  • Responsible for onboarding and offboarding activities related to hiring
  • Responsible for internal financial processes including reviews and management of internal tools and spend
  • Responsible for doing client research for new sales calls
  • Responsible for surveying the team about events (lunch & learns, monthly team meetings) and setting up events
  • Responsible for being a culture champion in slack (polls, events, gifs, celebrations)

You’ll know you’re the right person for this role if you have:

  • 3+ years of experience as an operations, administrative or executive assistant
  • Experience managing email, travel, events and activities
  • An obsession with getting the details right and keeping things moving
  • An ability to operate independently and reliably accomplish tasks
  • Reliable Internet, Reliable computer, Noise Cancelling Headset
  • Experience with word-processing software and spreadsheets (e.g. Google Docs, Sheets and Drive)
  • Knowledge of online calendars and scheduling (e.g. Google Calendar)
  • Excellent English skills (both written and spoken) & confidence to use English on phone calls, etc.
  • Experience with bookkeeping, accounts or finances of some sort
  • Experience creating or improving presentations and slides

Brownie points for experience with Asana, Click Up, Monday.com, Zapier

  • Able to work from home without distraction
  • Able to respond promptly within working hours
  • A positive, hard-working and fun person
  • Extremely organised, experienced and gets things done
  • Able to think outside the box and solve problems
  • A firm believer in the 80/20 rule; you are good at identifying the most important tasks to work on and seeing the big picture
  • Good at figuring things out. This is a big one. The perfect candidate gets great joy from coming up with clever solutions for problems. If you don't know something, you google it!
  • Passionate about learning new things
  • Great with numbers and financials.
  • Looking to be my assistant/office manager: you are NOT an agency looking to delegate my work to other people nor are you just looking for any job before pursuing the thing you really want.

  • Flexible working hours as long as there is a four hour (or more) crossover with the UK hours between 8 AM and 8 PM
