Executive Assistant - CEOs of UK E-Commerce Brand [CLOSED]

About The Role

We are two busy directors of a fast growing E-Commerce brand looking for an executive assistant to help us run both our business and our personal lives.

Due to rapid growth we are extremely busy and so you will be helping with a wide variety of both business and personal tasks such as financial bookkeeping, general admin, marketing & social media, research, travel planning and communicating with suppliers via email and phone.

We are open to someone looking for either a full-time position (40 hour per week) or part-time role on a flexible basis (4 to 8 hours per day) depending on your availability. However you must be online and available to work at least four hours of crossover on UK GMT (London) timezone between 9am and 6pm on Monday to Friday.

This will be a fast-paced and varied role where you'll be helping us with a lot of different projects and tasks. We are looking for someone to come on board and work extremely closely with the two CEOs on a long-term basis - to help us keep organised when it comes to both business (our fast growing E-Commerce brand) and our own personal lives.

Some of the things you'll be helping us with include…

  • Financial reporting, basic bookkeeping, managing invoices and paperwork.
  • Keeping our CRM and Google Drive folders up to date and organised
  • Helping the two CEOs with day-to-day administrative tasks
  • Help with travel planning: e.g. researching best options for flights & accommodation on trips, organising reward point schemes, scheduling transport and anything else related to travel.
  • Contacting suppliers, placing orders and arranging deliveries from UK companies.
  • Researching a wide variety of topics and subjects - both business and personal.
  • Scheduling meetings & calls, calendar management and generally keeping us organised!
  • Occasionally making phone calls to businesses based in the United Kingdom to ask for information, place orders or make requests etc.
  • Review our existing processes and systems, suggest improvements and help to create new processes/SOPS as required.
  • Help manage our social media profiles.
  • Any other varied tasks - either personal or business.

Once you join the team, you will be personally trained by our two CEOs and work closely with them on a daily basis. Ongoing professional and personal growth will be an important part of your role and there will be ongoing training, additional responsibility and plenty of opportunities to grow and develop.

Tools we currently use for communication are:

  • Notion
  • Slack
  • Google Suite - Drive, Sheets, Docs etc.

You must have:

  • Great English skills (both written and spoken)
  • Some previous experience as an executive or virtual assistant
  • Knowledge of basic bookkeeping, accounts or finance reporting.
  • Experience of emailing suppliers in English
  • Experience of making phone calls in English
  • Excellent decision-making skills
  • Ability to work from home (or wherever) without distraction
  • Positive & fun attitude
  • Extremely organised and detail-orientated
  • Able to problem solve well and work independently to figure things out.
  • Be an individual looking for a long-term position (no agencies thanks!)
  • Likes to solve problems and learn new things
  • Good with numbers
  • Excellent general online and research skills (Google etc)
  • Availability to work at least 4 hours per day on UK timezone.

Extra points (not essential) for:

  • Previous experience of working as an executive assistant to a CEO or senior-level person
