Executive Assistant [CLOSED]

Full Time 1400.00 - 1600.00 USD Type: Monthly

We are an SEO agency that manages SEO campaigns and content management for eCommerce brands and software companies in the United States and Europe such as Citizen Watch, Frederique Constant, Bulova, Goat.com and many, many more global brands.

Currently, our team of 20 consists of account managers that manage client engagements, SEO strategists and specialists that drive marketing strategy for our clients, analysts that support the client work, internal marketing and sales teams in addition to a team that runs internal operations.

Needless to say, our next Executive Assistant will have a huge impact by directly contributing to the growth of our agency. That’s why we need someone enthusiastic about getting work done, and extremely organized, hard-working, enthusiastic and a real problem solver to help our business thrive.

Your main responsibilities as an Executive Assistant will include:

  • Processing and writing emails
  • Maintaining calendars, coordinating meeting schedules and booking travel arrangements
  • Managing and prioritizing tasks
  • Improving executive efficiency
  • Working with spreadsheets (Google Sheets and Excel)
  • Preparing presentations (PowerPoint)
  • Conducting research and events outreach
  • Keeping processes updated and maintaining CRMs.
  • Data entry and minimal reporting
  • Meeting preparation and notetaking
  • Proofreading and editing correspondence and other documents as requested
  • Liaising and communicating with event organizers
  • Helping the executive with other admin tasks

The ideal candidate for this Executive Assistant role will have experience with the key tools we use daily. Familiarity with Asana, Google Workspace (including Gmail, Google Calendar, Google Drive, Google Docs, Google Sheets, and Google Slides), Microsoft Office (including Word, Excel, and PowerPoint), Slack, and Zoho will be essential to be successful in this position. As the Executive Assistant, you will be responsible for managing schedules, coordinating meetings, preparing documents and reports, and collaborating with team members across multiple platforms. Proficiency with these tools will enable you to streamline communication and organization, ultimately contributing to the overall efficiency and productivity of the team.

We are seeking a highly qualified candidate who meets the following criteria for our Executive Assistant position:

  • Previous experience working as an Executive Assistant is a must.
  • Excellent written and spoken English language skills are required to effectively communicate across all levels.
  • You possess exceptional communication skills, enabling you to interact with team members and clients efficiently and effectively.
  • Strong organizational skills and the ability to multitask are essential to managing the numerous tasks involved in running a successful marketing agency. You will need to ensure that all tasks are managed correctly and nothing is missed.
  • You are detail-oriented, ensuring that all tasks are completed accurately.
  • You possess exceptional problem-solving and decision-making skills, enabling you to tackle any challenge that arises.
  • A proactive personality is a must – you should be willing to take initiative and firmly believe in getting things done.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • You have a friendly approach and positive attitude, fostering a team-oriented environment.
  • Passionate about learning new things to stay on top of trends and developments in the industry.
  • Experience in booking national and international travel is a plus.
  • Ability to quickly learn different software and apps to improve workflow and efficiency.
  • Strong interpersonal skills, which enable you to effectively interact with a diverse group of people.
