Role overview

We are seeking a highly organised and detail-oriented Virtual Executive Assistant to support our Founder & team as we grow. The ideal candidate will be someone who aligns with our values: care deeply, learners in action, tough love, autonomy, and making a difference.

Management

  • Act as a trusted advisor and accountability partner for the founder, guiding and challenging their actions as necessary to align with the company's goals and values.
  • Project management – stay on top of various projects on the go.
  • Manage and direct the founder's workload and priorities to ensure productive and efficient use of time.
  • Manage the founder’s calendar and schedule, including booking and rescheduling appointments.
  • Manage and oversee outsourcing projects as needed, including but not limited to briefing and coordinating with external suppliers for tasks such as video editing, graphic design, etc.
  • Ensure timely and efficient delivery of outsourced projects while maintaining high-quality standards and adhering to project budget.

Finance

  • Support in preparing monthly bookkeeping via Xero, including preparation of financial documents/ reports, and generating invoices and statements.
  • Client invoicing, payment processing and follow-up.

Systems & Processes

  • Responsible for maintaining current information and function of our multiple websites (including WordPress, Thinkific and Leadpages).
  • Managing internet marketing initiatives.
  • Managing and maintaining current customer info - client billing, contact details, and event attendance.
  • Managing and updating documented internal processes.
  • Responsible for creating and maintaining our Standard Operating Procedures (SOPs).

Production

  • Assistance with the production and delivery of online classes and webinars.
  • Coordination and management of in-person events, training seminars and workshops. Includes liaising with providers such as graphic designers, audio/visual providers, venues etc. Also includes liaising with attendees or participants as needed.
  • Assistance with event materials, including marketing brochures, workshop booklets, facilitation guides, PowerPoint presentations, using Microsoft Office, Google Suite and Canva.
  • Conduct research and gather information for projects and presentations.

Service

  • Handle email and phone communications, responding to urgent and important requests as necessary.
  • Managing registration and client onboarding into programs, workshops, courses, mentoring and coaching programs.
  • Ensuring all our customers have a great experience.

What’s in it for you?

  • Fully remote and part-time role ~ 10 hours per week
