Well, they can be, simply by shifting the primary form of communication to instant messaging channels like WhatsApp - a platform that boasts a 98% message open rate combined with a response time that’s 25 times faster than email.

SalesRook aims to help businesses use instant messaging legitimately and effectively. It’s a sales enablement and automation platform.

As a rapidly growing business, SalesRook is growing its team by onboarding a new Executive Assistant to assist the business leaders by managing the administrative and organisational tasks so that they can focus on the strategic advancement of the business. You will turn the business into a well-oiled supercar so that the whole team can be efficient and get more done.

The three key areas of focus for your role will include:

🟡Financial management i.e. Xero management, expenses tracking, and payment collection

🟣Content and Landing Page Quality Assurance i.e. making sure that the content published on the website meets the required standards

🟡General business administration i.e. identifying areas where you could create a process/system to help the team be more effective

More specifically, in this role, you will:

  • Manage cash flow reports in Google Sheets
  • Send invoices, payment links and quotes via Xero
  • Follow up on past-due payments
  • Ensure that the content work meets the quality standards (Content Work QA)
  • Run secretariat errands for the founders
  • Manage the calendar and maintain records/documentation
  • Take minutes at meetings
  • Support the team and the founders by asking “which tasks can I do for you to help you be more efficient?” and support the team
  • Interact with the whole team, but especially the founders

An onboarding process will be organised for you once you join SalesRook and you will be supported as much as possible. You will have a chance to learn more about the business model, shadow other team members and attend meetings, as well as get to know the customers and understand the overall strategies.

To excel in this role, you need to have:

  • Previous experience as an Executive Assistant, or experience in a secretarial role where you carried out similar tasks
  • Experience working with finances and numerical proficiency; commercial experience
  • Near-native level of English, both written and spoken
  • Excellent organisational skills and the ability to multitask; eagerness to establish processes and love for SOPs! :)
  • Understanding of frequently used computer software and programs, such as Microsoft Office Suite
  • Experience using SaaS platforms, CRMs and instant messaging platforms (e.g. WhatsApp)
  • Excellent eye for detail – show us that you pay attention to details by incorporating the word “negotiator” in your application form :)
  • Values that align with SalesRook’s own values and company culture
  • Great work ethic and interpersonal skills

Brownie points for:

  • Experience/proficiency with Xero, GoCardless, Stripe
  • Eagerness to get involved in other areas of the business
  • Experience with Asana and ActiveCampaign
