I, Noel, am the owner and CEO of JobRack and I am looking for an Executive Assistant to help run both business and personal aspects of life.

I am looking for someone who is available to work with me full-time five days per week and is happy to help me with everything from event organisation, email and calendar management, book-keeping, travel research/bookings, through to research and a whole lot more too!

You MUST have experience in a similar role and really WANT to do this for the long term.

I have a busy and often complicated life! I run a rapidly growing business, I travel a lot, I organise conferences, dinners and events regularly, I'm very active and I like to have fun. I am looking for someone who is able to complete all tasks assigned to you and take pride in knowing things are done right and that you have made your CEO's life better and easier.

As an ideal candidate for this position, you want to take responsibility not only for organising things but also for aspects of the business too. This might include HR, e.g. onboarding and offboarding team members, financial aspects such as keeping track of spending, identifying opportunities for improvements, and taking responsibility for the well-being of the team proactively by driving improvements like monthly lunches, learning, team meetings, and get-togethers.

I’m looking for someone with extensive experience in some or all of these things to help me with the day-to-day running of the team here at JobRack as well as other aspects of my life.

The Executive Assistant I’m looking to add to the team would have three main outcomes:

  1. Help the CEO and management team to focus on our customers and our growth by managing internal activities and reducing distractions.
  2. Collaborate with the CEO to explore new ideas and experiments of things we could be doing (for example you might put together and deliver a training session for small business owners on how to work with an Executive Assistant!)
  3. Enrich and uplift the team’s lives through identifying and setting up events, get-togethers, activities and other ways of helping us to continue to be an awesome team.
  • Responsible for managing email, LinkedIn, and entrepreneurship communities for the CEO
  • Responsible for supporting the CEO in all aspects of life including travel, work and personal events (there’s significant crossover)
  • Arranging events from small dinners to full team retreats
  • Accountable for the completion of scorecards for various meetings and activities
  • Responsible for onboarding and offboarding activities related to hiring
  • Responsible for internal financial processes including reviews and management of internal tools and spend
  • Responsible for surveying the team, coordinating remote sessions (lunch & learns, monthly team meetings) and organising in-person events too
  • Responsible for being a culture champion in Slack (polls, events, gifts, celebrations)

You’ll know you’re the right person for this role if you have:

  • 2 - 4+ years of experience as operations, administrative or executive assistant
  • Experience managing email, travel, events and activities
  • An obsession with getting the details right and keeping things moving
  • An ability to operate independently and reliably accomplish tasks
  • Reliable internet, a reliable computer, noise cancelling headset
  • Experience with word-processing software and spreadsheets (e.g. Google Drive)
  • Knowledge of online calendars and scheduling (e.g. Google Calendar)
  • Ability to find ways to complete tasks, and, if you are not able to do that, find someone who can, no matter how big or small the task might be.

Bonus points for experience with Asana, Click Up, Monday.com, Zapier, and Notion.

  • Able to work from home without distraction
  • Able to respond promptly within working hours
  • A positive, hard-working and fun person
  • Professional and organised by default, as well as able to simplify the complex life of a CEO/business owner
  • Able to think outside the box and solve problems. No task is impossible, it just might take a little time and need a little money.
  • A firm believer in the 80/20 rule; you are good at identifying the most important tasks to work on and seeing the big picture
  • Good at figuring things out. This is a big one. The perfect candidate gets great joy from coming up with clever solutions for problems. If you don't know something, you google it!
  • Passionate about learning new things
  • Great with numbers and financials
  • Super confident and really able to own this role, make it your own and deliver right from the start
  • Looking to be my assistant: you are NOT an agency looking to delegate my work to other people nor are you just looking for any job before pursuing the thing you really want.
