Sofie is the founder of both Wonderful Wanderings, an authority travel blog, and Let Me Write That Down for You, a content strategy, writing, and optimization service that works with businesses in the fields of digital marketing and communication. Thanks to growing blog traffic and a constant stream of referrals for her content business, Sofie is looking for someone to support her with day-to-day tasks while she runs both businesses.

Sofie is looking for a Content and Administrative Assistant to take on day-to-day tasks so she can focus on core business activities. While this is a freelance position, Sofie is looking for someone reliable who's willing to grow as both businesses grow. For now, this role is part-time, but it has the potential to grow into a full-time role if things go well.

This position is ideal for someone who loves to work independently while knowing they're contributing to and are part of a larger project.

Here's what you'd be working on:

In the first few weeks, you'll take over the Wonderful Wanderings Inbox and will learn how to handle incoming collaboration requests. You'll then take on smaller ongoing tasks such as collecting and saving Sofie's published articles, creating reports of how much time Sofie and other team members spend on certain tasks and cleaning up links in articles. If all of that goes well, you'll get to work on some one-off projects that will allow both businesses to do even better.

Each task comes with a detailed SOP, outlining every step required to successfully finish a task, and sometimes with an instruction video as well. Sofie will also always be available for questions and support.

This role comes with a high degree of freedom. While some tasks need to be done multiple times a week (checking email), you will be free to set your own schedule and work the hours of your own choice, as long as the job gets done on time and with high quality. You will also have the opportunity to suggest new tasks as you see a need for them, and take on more responsibility as you go.

Within this role, you will work for both of Sofie’s businesses.

More specifically, for Wonderful Wonderings you will:

  • Handle incoming collaboration requests for the blog (advertorial and link placement requests, product review requests, and more)
  • Email clients whose advertorials are up for renewal on a monthly basis
  • Add affiliate links and widgets to existing blog posts

For Let Me Write That Down for You, you will:

  • Save articles by Sofie published for clients in a central sheet and convert them to + save them as PDF files
  • Add keywords to a keyword tracker on a monthly basis
  • Create a monthly overview of the time spent on various tasks by different team members
  • Reach out to different websites
  • Research conferences to speak at, podcasts to go on, etc.

You will also be responsible for gathering and saving expense invoices for both businesses. If you’re open to doing some personal tasks as well (travel research, product purchases research), that’s a plus, but not a must.

This is a part-time role of 20 hours per week, and you’ll ideally have a three-hour overlap with Lisbon, Portugal timezone. On workdays, you’ll need to respond to emails and comments from Sofie within 24 hours. Other than that, you’ll have the freedom to create your own schedule and the flexibility to finish tasks whenever it suits you, as long as the deadlines are met.

To be a successful candidate for this role, you need:

  • Knowledge of Gmail & Google Drive (mostly Google Sheets and Google Docs)
  • Excellent English writing skills
  • Excellent online research skills

Brownie points for experience with WordPress, Asana, email outreach & time tracking tools.

The ideal candidate is:

  • Someone with the drive to figure things out on their own & the courage to ask for help when they need it. You are comfortable speaking up when you feel something isn't working well and keeping Sofie accountable if she forgets to supply you with something you need.
  • Someone with great communication skills. You’ll need to communicate with on-point emails, comments, and questions. You know it’s better to ask for a deadline extension if you need one, instead of waiting for Sofie to realize you won’t make the deadline.
  • Someone with a sense of pride in regards to their work. Your contribution will play a large role in helping both of Sofie's businesses run smoothly. You'll allow her to focus on her core tasks, something that is hyper-important for a founder. It's important that you know the value of your work and that it can cause problems if you don't give it your best.
  • Trustworthy, dependable & loyal. Sofie is looking for someone who's in it for the long-haul. Someone who wants to help her businesses grow and grow with them. If you're merely looking for something to pay the bills until you find something better, this is not the role for you.

Here are the benefits:
